Pull up the last ten quotes you sent.
If most of them came off the same rate sheet, they don't need to be quotes. You read the size off the sheet, apply your minimum, add the setup fee and take off the quantity break. That's a price, and it can sit on the product page.
To replace quote requests with instant pricing on Shopify, you turn those quoting rules into a calculator that prices the job as the customer fills it in. With Appify Custom Product Options, each rule becomes part of one live price. Here's where each rule goes, how your existing sheet gets in, and how to check the numbers before the quote form comes down.
Your quoting rules, and where each one goes
Every rule you apply by hand has a place in the calculator.
| The rule you quote by | Where it lives in the calculator |
|---|---|
| Rate sheet by size and material | A pricing table |
| Sizes between the rows of the sheet | The table's lookup mode |
| Minimum charge | Minimum price on the total |
| Setup fee | A fixed fee |
| Quantity breaks | Quantity discount rules |
| Add-ons and extras | A price or a formula on the choice |
| Special cases | Price adjustments, visibility rules and value rules |
The rate sheet by size and material
A width-by-height grid goes into a pricing table as it is: widths down the side, heights across the top, prices in the cells. A material price list becomes a one-column table with one rate per material.
Tables can be shared by every calculator in your store. Update a rate once, and every product that reads that table picks up the change.
Selling by area instead? A pricing variable like AREA holds width times height. You write it once and reuse it in any formula or rule, so the material rate and anything priced per square foot read the same number.
Sizes between the rows of your sheet
Your sheet jumps from 24 to 36 inches, and a customer types 30. On a quote you'd make the call yourself. On the page, the table's lookup mode makes it the same way every time:
- Nearest upper: charges the next size up on the sheet.
- Nearest lower: charges the size below.
- Nearest: takes whichever row is closest.
- Interpolate: blends between the rows, so 30 inches lands between the 24 and 36 prices.
Set a minimum and maximum on each measurement field so nobody orders a size you don't make. A Limit rule can tie that maximum to the material, such as capping acrylic at 48 inches wide.
Deciding between a sheet and a formula for a product? Formulas vs pricing tables walks through both.
The minimum charge
If your sheet has a floor for small jobs, set it as the Minimum price in the total price formula. A tiny one-off order then prices at your minimum, not at its area. There's a Maximum price beside it too.
A minimum that changes with the material goes inside the formula instead. Setting a minimum price covers those versions.
The setup fee
Add it as a fixed fee. The customer sees it by name, on its own line in the price summary.
A fee can be flat or run from a formula, so a rush charge only applies when Rush is picked. A fee that works out to zero stays hidden. Quantity discounts never touch fees: they're charged in full.
Quantity breaks
Your breaks go into quantity discount rules as tiers. Each tier can be a percent off, an amount off, or a target price per unit.
Got breaks that change with size? Advanced (2D) mode gives each size range its own tiers, so a small sign and a large one can get different discounts at the same quantity. The discount applies automatically in the cart and at checkout, with no code to enter. More on tiers, including which quantity counts toward a break, in tiered and volume pricing for custom products.
Add-ons and extras
Mounting holes, rush, a premium finish, a second side: each choice can carry its own price, or a formula that reads the other options. A finish priced per square foot just reads AREA.
The special cases you handle in your head
The exceptions you'd normally sort out while writing the quote become rules:
- Surcharges on a condition. A price adjustment adds a flat charge when the area passes a size you set, or a percentage for a premium material.
- Combinations you don't offer. Visibility rules hide an option or a choice until it applies, like Rush only on small sizes.
- Choices that force another. Value rules set or lock a value, such as matte finish on every custom shape.
- Prices that depend on two things at once. Formulas take IF, AND and OR, so one price can follow the material and the size together.
For more on these, see conditional pricing rules on Shopify.
Options apps add choices. Your rate sheet needs math. Basic options apps stop at a price per choice, or an area times a rate. Appify Custom Product Options runs the table lookup, the minimum, the setup fee and the size-based break on one price.
Getting your rate sheet in without retyping it
You don't build this field by field. Open Chat with AI in the calculator editor and drag your Excel or CSV price sheet onto it. Then say how you price, in your own words:
"Price comes from this sheet by width and height, per material. Minimum 35, setup fee 15, 10% off at 10 or more."
It adds the options, the pricing, the tables and the rules, and the preview updates as it works. Everything it writes stays editable by hand.
Two smaller shortcuts help too. Quantity breaks paste straight from Excel or Google Sheets with Import table in the discount settings. And the Describe with AI tab on any formula field turns "charge 2.50 a square foot with a 25 minimum" into a working formula.
The full walk-through, with blinds, sticker and packaging sheets, is in turn your pricing spreadsheet into a Shopify pricing system.
Checking the price before it goes live
Here's the test worth running: take a handful of jobs you quoted recently and put each one through the calculator's preview. The number should match what you sent.
The live preview has a Draft, Saved and Published toggle, so you test edits before customers see them. Saving doesn't publish. Nothing goes live until you click Publish.
When a number is off, click Price looks wrong? under the preview price. It opens the Troubleshoot tab for those exact choices. Type the price you quoted into I expected.
It shows what every part of the formula is worth, then names the likely issue and offers the fix. If your number sits in a table cell, it tells you which one.
You can also just tell Chat with AI: "30 by 36 in aluminum should be 64 but shows 58." It opens Troubleshoot with those choices already in the preview.
Before a big rate change, save a checkpoint so you can restore the earlier version. More in how to preview price changes before they go live.
What arrives with the order
A quote ends with you writing up the job. Here, the order carries it.
- The calculated price. Checkout pricing applies it automatically, with nothing to adjust by hand.
- Every choice, on the line. Cart properties decide which options show, and can add a computed value like the area, with its unit.
- One place to review it. The app's Orders page shows each line's options table and linked fees, without digging through line item properties.
- Changes and repeat orders. Customers can change their options from the cart with Edit options, and reorder with every choice filled back in. See which apps keep custom options through cart edits, reorders and recovery.
The same calculator can price the job on a landing or collection page too. See how to add a price calculator to Shopify landing and collection pages.
FAQ
Can I replace a quote form with instant pricing on Shopify?
Yes. Appify Custom Product Options turns your rate sheet, minimum, fees and quantity breaks into one live price on the product page.
Which Shopify app gives instant pricing instead of a quote form?
Appify Custom Product Options prices custom products with pricing tables, formulas, pricing variables, fixed fees, minimum prices and quantity discounts, so customers see their price and add to cart.
Can I use the price sheet I already have?
Yes. Attach the Excel or CSV file to Chat with AI and describe how you price. It builds the tables and pricing, and you can edit all of it afterwards.
What happens when a customer enters a size that isn't on my sheet?
The table's lookup mode decides: the next size up, the next size down, the nearest row, or a blend between the two.
How do I add a setup fee and a minimum charge?
Add the setup fee as a fixed fee and set a minimum price on the total. The fee shows on its own line and is never discounted.
Do customers need a code for quantity breaks?
No. Quantity discounts apply automatically in the cart and at checkout.
