How to Import Your Excel or CSV Pricing Sheet Into Shopify Product Pricing

Yes, Shopify can calculate prices from your Excel pricing sheet. Not on its own, though. Shopify's CSV import loads one fixed price per product or variant and does no math on size or quantity.

With Appify Custom Product Options, your sheet goes in as a pricing table or a discount table, and the price is worked out for each customer's choices. Here's what the import accepts, how to prepare the sheet, and how to check the result.

Which part of your sheet goes where?

A pricing sheet usually holds two kinds of numbers: rates and prices, and quantity discounts. They take different routes in.

What's in your sheet Where it goes How it gets in
Rate sheets: material rates, size grids, supplier price grids Pricing tables Attach the CSV or Excel file to Chat with AI and ask for rate tables
Quantity breaks: 25+ units, 100+ units Quantity Discount Rules Copy the cells in Excel or Google Sheets, paste into Import table
Breaks that change with size: width by quantity Quantity Discount Rules, Advanced (2D) The same Import table, with a size on one side and quantity on the other

Get the sheet ready first

A few minutes of cleanup saves a lot of fixing later.

  • Numbers, not labels, for sizes. In a discount sheet, put the real number in the size column, like 4 for an area.
  • One layout per block. A simple discount list is two columns (minimum quantity, discount) or two rows (quantity breaks across the top, discounts underneath).
  • Names that match your choices. A rate table looks up a choice by its Choice Token, not the label customers see. Capitals don't matter, spelling does.
  • Plain values. Keep one number per cell. Move notes and totals out of the block you're importing.

Route 1: attach the file to Chat with AI

Chat with AI sits beside the calculator editor. Drag a CSV or Excel file onto the chat, or use the paperclip, and say what the sheet is: "This is my sticker rate sheet. Sizes down the side, materials across the top."

Ask it to add rate tables or quantity discounts from the spreadsheet. You can add the options around them in the same thread, like a material dropdown or a width field.

Nothing is locked in. Everything it writes stays editable in Options & Pricing, so open the table and look at the grid before you trust it.

Route 2: paste your discount grid into Import table

Quantity discounts have a paste-in route of their own. Open Calculator Editor, then Options & Pricing, then Quantity Discount Rules and click Configure.

  1. Click Import table.
  2. Copy the cells from Excel or Google Sheets and paste them into the import box.
  3. Choose the discount type: percent off, amount off, or target unit price.
  4. For a size-based sheet, set Which side is quantity? if your sheet runs the other way.
  5. Check the preview, then click Import.

Here's a simple sheet, ready to paste:

Min quantity Percent off
25 5
100 15
500 25

A customer ordering 200 stickers gets 15% off. The highest tier they reach is the one that applies.

A sheet where size changes the break

For Advanced (2D) rules, put a size on one side and quantity breaks on the other:

Width (in) 10+ 50+
24 10% 20%
48 5% 15%

Imported size numbers become ranges, either from each value to the next or up to each value. The preview shows which, so you can fix it before you save.

Edit before you save, and take it back out any time. The preview lets you fix the imported tiers before they go live, and Copy table sends the whole grid back to a spreadsheet.

What happens to a size that isn't on your sheet?

Sheets have gaps. Your rate list stops at 10, 25, 50 and 100, and a customer wants 30. Each pricing table has a lookup mode that decides what the price does.

  • Exact: the value must match a key.
  • Nearest lower: takes the closest key at or below the input.
  • Nearest upper: takes the closest key at or above it.
  • Nearest: takes the closest key in either direction.
  • Interpolate: blends between the surrounding numbers.

With Nearest lower on a one-column table of quantity breaks (10, 25, 50, 100), 30 units get the rate for 25. Pick the mode that matches how you quote. Not sure whether a rate sheet or a formula suits your pricing? Read formulas vs pricing tables.

Check the import against your sheet

Don't publish on trust. Spend ten minutes proving the numbers.

  1. Open the live preview and use the Draft view. Saved and Published views are there for comparing.
  2. Enter sizes and quantities that sit exactly on your sheet, then ones between the lines. Compare each with Excel.
  3. If a price looks wrong, click Price looks wrong? under the preview price. The Troubleshoot tab opens for those exact choices.

For table lookups, Troubleshoot shows the row and column that were tried, whether they hit, and the closest keys when they missed. When a choice doesn't match a table key, it offers a one-click fix. A lookup that comes back as 0 is your cue to open it.

You can also tell Chat with AI what the price should be, and it opens Troubleshoot with your choices filled in.

Keep the sheet and the store in step

A table made on the main Pricing Tables page is global. Every calculator that reads it picks up your changes the next time it loads, so a supplier price change is one edit.

For discounts, import the updated grid, check the preview and save.

What the price does after the lookup

The number from your sheet is the start of the price, not the end:

  • A formula can multiply, round or cap it. See how to price from a 2D pricing table.
  • Quantity breaks come off automatically at checkout as a line discount, with no code to hand out.
  • A minimum price keeps small orders worth your time.

FAQ

Can Shopify calculate prices from an Excel sheet?

Not natively. Shopify's CSV import loads a fixed price per product or variant. Appify Custom Product Options turns your rate sheet into pricing tables and calculates the price from the customer's choices.

Can I import a CSV or Excel pricing file?

Yes. Attach the file to Chat with AI to set up rate tables and discounts, or paste a discount grid from Excel or Google Sheets into Import table.

Does my sheet need a special format?

For discounts, use two columns or two rows, or a size by quantity grid. Put real numbers in the size column. Rate tables look up choices by their Choice Token.

What if a customer picks a size that isn't on my sheet?

The table's lookup mode decides. It can match exactly, round down, round up, take the nearest size, or blend between the surrounding sizes.

How do I check the prices match my spreadsheet?

Test sizes in the Draft preview and compare them with Excel. If one is off, click Price looks wrong? and the Troubleshoot tab shows which row and column were read.

Your sheet's prices, worked out for every order.
